SRM Timelines
=============

The **timeline** is the chronological story of a stakeholder, organisation, initiative, or any other SRM record. It pulls every interaction, note, task event, status change, and field update into a single reverse-chronological feed.

What the timeline tracks
------------------------

The timeline captures the events that matter for engagement work:

- **Record created** and **Record updated**
- **Relationship changed**: a new initiative linked, a stakeholder added to a group, an organisation attached
- **Status changed**: for example an issue moving from *Open* to *Resolved*
- **Interaction logged**: every meeting, call, email, or other interaction recorded against the record
- **Task added** and **Task completed**: commitments and follow-ups created or closed
- **Note added**: internal notes captured against the record

Each entry is timestamped and attributed to the user who triggered it. Files attached to interactions, tasks, and notes appear on their timeline cards. Users with the right permission can delete a timeline activity.

Where a stakeholder's contact email matches a user account on your engagement site, their activity on the public side lands here too: survey submissions, document downloads, event RSVPs, project follows and unfollows, logins, password resets and profile updates. Nobody logs those; they appear on their own. See [Users and stakeholders in SRM](/articles/users-and-stakeholders-in-srm).

A survey with a [stakeholder mapping](/articles/capturing-stakeholders-from-a-survey) handler also records an entry naming the fields a submission wrote, dated to the submission rather than to when it was processed.

Reading the timeline
--------------------

The timeline appears on the **View** tab of every major SRM record. Entries are grouped by month and year, most recent first.

Tabs at the top of the timeline narrow the view by type:

- **All**: the default, showing every event type
- **Interactions**: only interactions
- **Tasks**: only task events
- **Notes**: only notes

Filtering the timeline
----------------------

Advanced filters narrow the view further:

- **Keyword**: searches interactions and notes (the field is labelled *Search interactions & notes…*)
- **Date from** and **Date to**: limit the timeline to a date range
- **Interaction type**: only interactions of a given type
- **User**: only events triggered by a specific user

Adding items to the timeline
----------------------------

Click **Add** at the top of any timeline and choose **Interaction**, **Task**, or **Note**. Interactions use a quick log form with the record pre-filled, tasks capture a title, description, due date and owner, and notes take a title and a rich-text body. All three support file attachments.

Exporting a timeline
--------------------

Use **Export activity** at the top of any timeline to download the full activity log for that record as a spreadsheet. The export includes:

- The activity type and a processed description
- The linked stakeholder, organisation, initiative, and interaction (where applicable)
- Who triggered the activity
- When it happened

This makes it straightforward to produce an evidence trail for an individual stakeholder, a programme review, or a compliance request.
