 Stakeholders

A **stakeholder** is any individual whose interests, influence, or engagement matters to your work: a member of the public, a business owner, an officer in a partner organisation, an advocate, or a critic. The stakeholder record is the central hub of SRM: it holds who they are, how they're connected to your organisations and initiatives, how they feel about the work, and the full history of every interaction your team has had with them.

This article covers what a stakeholder record contains, how to create one, and how to work with the stakeholders list.

A stakeholder record can exist before you have had any direct contact. You do not need to wait for a first interaction to create one.

Creating a stakeholder
----------------------

1. From the left menu, expand **SRM** and click **Stakeholders**.
2. Click the **+** icon (*Create stakeholder*) at the top of the page.
3. You'll land on the new stakeholder's **Edit** view. Fill in the fields described below.
4. Click **Save changes** to persist the record.

The stakeholder form is made up of a handful of blocks. The sections below walk through each one.

Name and description
--------------------

- **Name** (required): the stakeholder's full name. It appears as the heading on every view of the record.
- **Description**: a rich-text area for background on who they are, their context, and why they matter.

Contacts
--------

A stakeholder can have one or more contacts. Each contact card links the stakeholder to an **organisation** and captures contact-specific details:

- **Organisation**: picked from the organisations already in the system, or **None/Personal** for a personal contact
- **Job title**: the contact's job title within their organisation (shown once an organisation is chosen)
- **Location**, **Email**, **Phone**, **Address**: optional, fill what you have

Drag contacts to reorder them. The contact at the top of the list is automatically the **primary contact**, which is the one used for outbound emails and shown first on the overview.

If a contact email matches a user account on your engagement site, the two are linked automatically and a **Website user** badge appears beside the email. Click it to open that profile. An orange **Unverified website user** badge means the account exists but its address has not been confirmed. Once linked, activity from the account appears on the stakeholder timeline: survey submissions, project follows, document downloads, event RSVPs, logins and account updates. See [Users and stakeholders in SRM](/articles/users-and-stakeholders-in-srm).

A contact email is **not** treated as unique. Nothing stops two stakeholder records carrying the same address. Search before you create, and where one person represents two bodies add a second contact card rather than a second record.

Engagement metrics
------------------

These three fields are set by your team rather than calculated. Update them as the relationship changes.

- **Influence level**: how much sway this stakeholder has over decisions. *Very Low, Low, Medium, High, Very High*.
- **Interest level**: how much they care about the work. *Very Low, Low, Medium, High, Very High*.
- **Sentiment**: where they currently sit on an 11-point scale from *Strongly Opposed* (−5) through *Neutral* (0) to *Strong Advocate* (+5). Intermediate points include *Resistant, Sceptical, Cautious, Open, Supportive, Engaged*, and *Champion*.

SRM combines influence and sentiment into a **risk score** behind the scenes. Highly influential stakeholders with negative sentiment surface in the **Stakeholders Needing Attention** widget on the dashboard.

Relationships
-------------

- **Relationship Owner(s)**: the team members responsible for managing this relationship. You can name more than one. Owners drive dashboard widgets and filters; they do not restrict who can see or edit the record. That is [teams](/articles/teams-in-srm).
- **Initiatives**: the engagement programmes this stakeholder is involved in or has an interest in. A stakeholder can belong to several initiatives.
- **Group(s)**: the stakeholder groups this stakeholder belongs to, for example Workshop attendees, Industry representatives or Advocacy groups. A stakeholder can belong to any number of them. See [Stakeholder groups](/articles/groups).

Custom fields
-------------

If your engagement site has added [custom fields](/articles/custom-fields-for-srm-records) for stakeholders, they appear in a card at the bottom of the form. Saved values show in a **Custom fields** card on the record's overview, and are available as list columns, filters and export columns.

Working with the record
-----------------------

Every stakeholder has three tabs:

- **View**: the read-only overview. The main area is the timeline; the sidebar shows primary contact, other contacts, organisations, initiatives, and groups.
- **Edit**: the form covered above.
- **More...**: additional actions including **Delete**.

From the **View** tab you can:

- Add a note or log an interaction directly against the stakeholder (use the **Add** button on the timeline).
- Filter the timeline to **All**, **Interactions**, **Tasks**, or **Notes**, or use the advanced filters to narrow by keyword, date range, interaction type, or user. See [Timeline](/articles/timeline).
- Use **Export activity** to download the full audit trail for that stakeholder as a spreadsheet.

Finding stakeholders
--------------------

The **Stakeholders** list shows every record you have access to, with columns for *Name*, *Organisation(s)*, *Initiative(s)*, *Influence*, *Interest*, *Sentiment*, and *Interactions*. Click a column header to sort by it; the default order is Name, A to Z.

The column selector adds *Group(s)*, *Owner(s)*, *Team* and one column per custom field. Those are off until you switch them on.

Use the **Search stakeholders** box for free-text matching against names.

Filtering the list
------------------

Click **Filter stakeholders** to narrow the list by:

- Initiative
- Organisation
- Group
- Relationship owner
- Influence level
- Interest level
- Sentiment
- Team
- Modified by
- One filter per custom field

Exporting the list
------------------

The **Additional options** menu at the top of the list includes a **spreadsheet export** of the current view. Exports respect whatever search and filters are active, so filter first and the export matches what is on screen.

Updating several stakeholders at once
-------------------------------------

Tick the checkbox on any row and a bulk action bar appears:

- **Change scores**: set Influence, Interest or Sentiment across the selection. Each field starts at **Leave unchanged**, so you can move sentiment without touching the other two.
- **Edit associations**: add or remove **Initiative(s)**, **Group(s)** or **Relationship Owner(s)**. It adds to or removes from what each record already has rather than replacing the set.
- **Set team**: move the selection to a team, or clear the team.
- **Delete**: remove the selection. This cannot be undone.

Filter the list first, switch on the column you are judging by, then act. See [Filtering, columns and bulk updates in SRM](/articles/filtering-columns-and-bulk-updates-in-srm).

#### Permissions

Creating and editing stakeholders requires the **Stakeholder Manager** role (or Administrator / Team Lead). The **Stakeholder Viewer** role can see records but not edit them. See [User roles](/articles/9176861358095-User-roles) for the wider role model.
