 Logging Engagement in SRM

This article covers putting the engagement history onto the register.

Almost everything here starts in the same place: the **Add** button at the top of a record's timeline. Open a stakeholder, click **Add**, and you get three choices: **Interaction**, **Task** and **Note**.

1. Log an interaction
---------------------

An interaction is one touchpoint: a meeting, a call, an email exchange, a survey response, a social media reply.

![Opening the interaction quick log from the timeline Add button](/storage/GN99PH3uFGhNSJ000gAQJ6evIobviWIKy6MGVfuN.gif)

1. From the stakeholder's **View** tab, click **Add** on the timeline and choose **Interaction**.
2. Pick a **Type**: Email, Meeting, Phone, Social media or Survey.
3. Pick the **Initiative(s)**. Only the stakeholder's own initiatives are offered.
4. Pick the **Organisation**, or leave it as **None / Personal**.
5. Write a one-line **Summary**, then the detail in **Comment**: what was discussed, agreed, raised or promised.
6. Add **Attachments** if you have papers, slides or a letter.
7. Leave **Follow-up** as **None** for now. Save.

The interaction appears immediately on this stakeholder's timeline, and on the timelines of the organisation and every initiative you linked. One entry, no duplicate typing.

This quick log form is the shorter of the two. The **Interactions** list has a fuller form with a **Title**, **Type of interaction**, an explicit **Date** and a rich-text **Notes** field, which is the one to use for a substantial write-up or a backdated entry. See [Interactions](/articles/interactions).

Set the date to when it happened, not when you typed it up. The interactions list sorts by that date.

### Interactions that log themselves

Where a stakeholder's contact email matches a user account, a survey submitted **while signed in** creates a **Survey** interaction on their timeline automatically, with the organisation taken from their contact card and the initiative filled in if the survey's project is linked to one.

Anonymous submissions are not matched, even if the person types a known email into a question. If you want submissions on the record, set the survey to require a signed-in submitter. See [Users and stakeholders in SRM](/articles/users-and-stakeholders-in-srm).

2. Add a note
-------------

A note is context with no touchpoint: meeting preparation, background research, an internal observation, or why something is being handled a certain way.

If you spoke to someone, log an interaction. If you are recording what you know, think or plan, add a note.

1. Click **Add** on the timeline and choose **Note**.
2. Give it a **Title** and write the body. Attach files if useful.
3. Save. It sits on this record's timeline only.

See [Notes](/articles/notes).

3. Capture a commitment as a task
---------------------------------

A task records something one person owes by one date.

![Adding a task from the stakeholder timeline](/storage/T0BymWBx81bozmbuOpTQvF7g7QKjcoJK6Abi6EWc.gif)

1. Click **Add** on the timeline and choose **Task**.
2. Title it as the action, for example "Send draft consultation plan".
3. Add a **Description**, a **Due date** and a **Task owner**.
4. Save.

The task appears on this record's timeline, on the **Tasks** page in the SRM menu, and in the owner's **My Tasks** dashboard widget. Tick **Completed** when it is done. See [Tasks](/articles/tasks).

4. Raise a follow-up as you log
-------------------------------

The **Follow-up** section at the bottom of the interaction quick log raises an issue or a task in the same save as the interaction.

Choice

What it does

**None**

Just the interaction.

**Add issue**

**Create new** raises a new issue with a title and description. **Add to existing** links this interaction to an issue already open, as one of its source interactions.

**Add task**

Creates a follow-up task with a **Subject**, **Body**, a **Task type** (**Commitment** or **Follow-up**) and a **Priority**.

**Task type is only set this way.** A task added straight from the timeline or the Tasks page has no type, and the dashboard's **My commitments** and **My follow-ups** widgets only count typed tasks. Create the task from the interaction it came out of if you want it in those counts.

### Issue or task?

- **An issue** is a problem to resolve: a complaint, a risk, a blocker, a relationship breakdown. It has a status, a priority, an owner and a resolution summary, and it can gather several interactions as its sources.
- **A task** is a single action for one person by one date.

"The industry body objects to the proposed route" is an issue. "Send them the traffic report" is a task. See [Issues](/articles/issues).

5. Read the timeline
--------------------

The timeline holds every interaction, note, task event, status change and field change on a record, newest first, each attributed to whoever did it. It also carries the public-site activity of any matched user account.

Two controls narrow it once a record has a long history:

- **Tabs**: **All**, **Interactions**, **Tasks**, **Notes**.
- **Advanced filters**: a keyword search across interactions and notes, a date range, an interaction type, and a user.

**Export activity** at the top of the timeline downloads the whole log as a spreadsheet, which is useful for a handover or a review. See [SRM Timelines](/articles/timeline).
