Filtering, columns and bulk updates in SRM
==========================================

Updated 4 weeks ago · 5 min read

 Search Search

Every SRM list shares the same controls: search, filters, a column selector, sortable headers, an export, and bulk actions on the rows you tick. This article covers what each SRM list offers.

These controls work the same way across the rest of the platform, which [Sorting, filtering and bulk actions](/articles/11195919080463-Filtering-content) covers.

Filter first, then act
----------------------

Almost every job on an SRM list is the same three steps:

1. **Narrow** the list with search and filters until it shows exactly the records you mean.
2. **Check** what you have, switching on a column if you need to see the field you are about to change.
3. **Act**: export it, or tick the rows and use a bulk action.

Exports and bulk updates both act on whatever the filters left behind, so check the filters first.

Filters
-------

Click **Filter** above any list to open the filter panel. Filters combine, so each one you add narrows the list further.

List

**Stakeholders**

Keyword, Organisation, Initiative, Group, Relationship owner, Influence level, Interest level, Sentiment, Team, Modified by, plus one per custom field

**Interactions**

**Initiatives**

**Organisations**

**Issues**

- **Created by** and **Modified by** are text boxes that match on the person's name. They are not a user picker.
- A custom field filter follows its field type: a text field matches part of the value, and a **Drop-down**, **Radios** or **Checkboxes** field gives you a multiselect of its own options. See [Custom fields for SRM records](/articles/custom-fields-for-srm-records).

Columns
-------

Each list shows a default set of columns and has more you can switch on. Open the **column selector** above the table, tick what you want, and apply.

List

**Stakeholders**

**Group(s)**, **Owner(s)**, **Team**, plus one per custom field

**Interactions**

**Issue(s)**, **Team**, **Created**, **Updated**

**Initiatives**

**Owner(s)**, plus one per custom field

**Organisations**

**Owner(s)**, plus one per custom field

The **Team** column only appears as an option on sites using teams.

### Sorting

Click a column header to sort by it, and click again to reverse. Defaults are:

- **Stakeholders**: by **Name**, A to Z.
- **Interactions**: by **Date**, newest first. That is the date the interaction happened, not when someone typed it in.
- **Initiatives**, **Organisations**, **Issues**, **Stakeholder groups**: newest record first.

Columns that hold several values at once, such as Organisation(s), Initiative(s), Group(s) and Owner(s), cannot be sorted, because one row holds many values. Filter on them instead.

Bulk actions
------------

Tick the checkbox on any row and a bar appears with the actions available for that list. Tick the header checkbox to select every row on the page, or select every record matching your current filters.

### Available on every list

- **Set team**: move the selected records to a team, or clear the team to make them visible to everyone. See [Teams in SRM](/articles/teams-in-srm).
- **Delete**: remove the selected records.

### How the bulk action modals work

There are two kinds of modal.

- **Setting a field** — Change scores, Change status, Set status, Set dates and Change type. Every field starts at **Leave unchanged**, and only the fields you give a value are written, so you can change sentiment across 200 stakeholders without touching their influence or interest.
- **Editing associations** — the **Add or remove associations** modal. Choose whether you are **adding** or **removing**, pick the relationship, then pick the records. It adds to or removes from what each record already has rather than replacing the whole set, so adding a stakeholder group to fifty stakeholders leaves their existing groups alone.

![The Add or remove associations modal on the stakeholders list, with Group(s) selected and two groups chosen](https://engage.knowledge.civ.io/storage/S1k7dON9BaPAQuqhA2mhTRUsQhN2dOdERYGO0bXq.png)

**When you select every matching record** rather than ticking rows, only **Delete** stays available.

### Which records a bulk action can change

A bulk action only ever changes records your teams own. If your selection includes a record you do not have access to, that record is skipped rather than the whole action failing. Administrators are not scoped this way.

**Deleting in bulk cannot be undone.** Filter first, switch on the column you are judging by, read the count, and only then delete.

Exports
-------

The **Additional options** menu above the Stakeholders, Organisations, Initiatives, Interactions and Issues lists has a spreadsheet **Export** of the current view. The export matches what is on screen, search and filters included, and each custom field gets its own column. See [Reporting in SRM](/articles/reporting-in-srm).

Worked examples
---------------

### Move a cohort into a group

1. On **Stakeholders**, filter by **Initiative** to the consultation you have just run.
2. Switch on the **Group(s)** column so you can see what they already belong to.
3. Tick the rows, choose **Edit associations**, set the mode to add, pick **Group(s)**, and choose the group.

### Re-score after a round of engagement

1. Filter **Stakeholders** by **Group** to the workshop cohort.
2. Tick them, choose **Change scores**, set **Sentiment** only, and leave Influence and Interest unchanged.

### Close out a batch of issues

1. On **Issues**, filter by **Owner** and read the list.
2. Tick the resolved ones, choose **Set status**, and set **Status** to Resolved. **Closed At** fills in automatically. Resolution summary is not a bulk field, so add each one on the record itself.

Permissions
-----------

Bulk actions need edit rights on the records: **Stakeholder Manager**, Administrator or Team Lead. **Stakeholder Viewer** can filter, sort, switch columns and export, but sees no bulk action bar. See [SRM Roles](/articles/srm-roles).
